This week Box PR has been back in the classroom. We were invited to Southampton Solent University to guest lecture about PR (Public Relations) in the real world and in particular to assist them in writing a press release about a product launch for their assignment.

Box PR regularly writes press releases about company news, new product releases and product successes, just as a start. There are several stages to writing a press release:

1. Collating the facts and information to write the press release.

2. Writing a factual and informative press release.

3. Issuing the press release in the correct format to the targeted audience.

4. Following up with the media with regards to images and further information.

5. Collating press cuttings and media clippings.

Step 1 – Collating the facts

PR stands for Public Relations, which is about reputation - the result of what you do, what you say and what others say about you. Box PR looks to manage the reputation of our clients by reviewing and controlling the messages they send out to their employees, customers, potential customers and the media.

Therefore when writing a press release we look after that reputation, in order to earn understanding and support for a company, product or service whilst influencing opinions and behaviour. Everything we do is a planned and sustained effort to establish, maintain goodwill and mutual understanding between our clients and its publics.

It is important that the release gives a rounded view and is written in the third person, to make it as straight forward as possible for journalists to repeat and share with their audiences.

Step 2 – Writing a factual and informative press release

Headline

Purpose to grab your audience’s attention

Select key words – good for Search Engine Optimisation (SEO)

Opening Paragraph

Brief overview of key facts, dates that you want the reader to take note of and remember.

Main Body

Be compact, don’t waffle, avoid repetition and fancy language and Jargon.

First couple of paragraphs

Who, what etc.

Who is it about

What is the actual news

Why this is news

When/what – is the product launching/event happening

How – how has it come about

Conclude

Draw all the points together

Picture

A picture tells 1000 words, always try and include where possible

END

Always mark the end of a press release

Boiler Plate

This is a paragraph about the organisation, what it does – general info for the reader prior to publication

Contact info

They need to know who to contact if they want further images or additional information make it easy for journalists!

Length is a tricky one – how long is a piece of string – initially try and stick to 1 page

Step 3 - Issue the Press Release

It is important that all news is circulated internally prior to publishing it outside to customers and the wider media audience. Circulate via company email, add the news to a noticeboard so all employees even those who do not have access to emails know what is being circulated. Upload to the company website and circulate via social media sites such as Facebook, LinkedIn, Twitter and You Tube if applicable.

Once the release has been circulated internally then it is time to think about the wider audience:

Who are your key editors that should know about the “news” from the company.
Online and Offline editors, they are rarely the same person, so make sure both are targeted
Customers, your existing database
Potential Customers
Target list, people you may want to tell rather than them hearing about it in a the press

Step 4 – Follow up with the media

When you send out a press release, some journalists will simply extract what you send and use the picture to publish straight online whilst others will want further information or high resolution images to put into print. It’s important to answer all questions where possible to ensure your message is balanced and portrayed correctly.

Step 5 – Collate press cuttings

Don’t let all your hard work go to waste, keep records where all your hard work appears in the media. This helps you keep track of the messages you send out, who is interested in your releases, and the audience they reach.

In summary

All communications must be clear, concise, factual and targeted

All news must be promoted internally first

Tell appropriate media

Follow online and in print and record cuttings

The importance of planning

It all seems to be about the planning at the moment, we have lots of shows different shows coming up, so there is plenty going on keeping us out of trouble. The early part of the year is always a good time to look at what opportunities there are for shows, conferences, editorial features and advertising. Things are always changing and it’s about making sure everything which can be incorporated is. Planning is about having lists.

Exhibitions are some of the biggest marketing spends many companies are likely to see throughout the year and therefore it is important for them to get the most amount of value from these shows. It is the one time in the year that you can be exposed to many customers and the press at one time and it’s therefore you need to look your best.

There are many different aspects to a show. Initially we ensure our clients are fully equipped with the ‘tools’ to do the job – enough business cards, company brochures, stand displays and graphics. Are all the stand bookings in place, and right amount of space? The right number of lights? Electric sockets? The list is seemingly endless but these all make a difference to how your company message comes across! We look at the available publicity, such as show catalogues and guides, often the text needs completing for these and ensuring that all their information is up to date. Many publications that support events will run publicity around these events, so editorial opportunities need to be hunted down. Do our clients want to advertise to support their attendance? What new products or services will they have available? Will the products be available for display, will the team manning the stand have enough information on the products?

As the shows get closer, stories to the press become more important and we sometimes do e-news mailings, as well as generating stories. Once the show starts, then its show news and making sure all the right journalists visit the client so they appear on the radar.

And before we know it, the shows will be all over with, and we can note what worked best for our clients and go away and the planning process starts all over again!

Check list for show……..

Book your space
Check with the show organisers the deadlines for booking equipment and stand requirements
Check exhibitor guide deadlines and make sure all information is submitted in time.
Check show editorial guides
Check magazine that are covering the show and arrange media appointments
Tell people you are going to be at the show, use all the tools available including direct mailings either in the post or online.
Regularly check updates on the show website and ensure your presence is paramount.
Ensure a smartly dressed team, and welcoming smiles on the stand to attract existing potential new clients to the stand!

Do you practise what you preach?

Regular phrases you will hear around the Box PR office are along the lines of What’s news with you? What projects are you working on? What have you got coming up? This is the voices of our team checking in with clients looking for news items and search in editorial features that they can appear in.

When in a team meeting last week, we realised, do we always practise what we preach…..do we regularly update our news, blogs and social media sites?!

At Box PR we hold our heads in shame as you will see the last blog post we wrote dates back to 29^th September 2011. This could be taken 2 ways, firstly that we have done nothing since then (we can dream!) or secondly that we have been so busy doing what we do, that we haven’t stopped to reflect and share our thoughts and what we have learnt along the way. Happily we can report that the latter applies and we have been so busy with our clients our blog seems to have slipped away from our thoughts. Well not any more……….

So here we go, call it a New Year’s resolution (a bit late) or call it a virtual telling off. From here on in we are going to be sharing our thoughts, our knowledge and dare I say it a little expertise about what is on Box PR’s mind. Depending on the mood, what’s on our mind, how much time is on our hands, it blog post could about an exercise we are doing with a client, it could be something topical that has come up in the news, or it could be a check list. Whatever it is it will be live in time for your Monday morning coffee break to inspire you for the week ahead. What we can guarantee is that it will be related to marketing and PR, and it there will be a chance for you to apply what we are talking about within your organisation, (we hope so anyway).

A successful Monaco for our clients and us!

So whilst we were sitting on the plane on the flight to Monaco, we were anticipating what the show would bring in 2011. Having spent a couple of days at PSP Southampton Boat Show it was clear times are still hard and money is tight, would this be reflected in the superyacht sector too? Has all the doom and gloom of previous years passed, and is the Superyacht industry defying what the media is hyping up to be a double dip? Our time in Monaco over the next few days would certainly shed some light on the situation!

Although having visited Monaco for many years, this would be our second year as Box PR. In 2010 we were here with RMK Marine from Turkey, with their impressive award winning 52m Nazenin V. This year we returned to the show with RMK Marine and a relatively new client to us, Ocean Yacht Systems (OYS). A busy show was planned for both clients and so for us as well, with 20 media meetings, 3 major client meetings, media packs to distribute and an information feed to you our friends and followers..........it was always going to fun.

The team at OYS, based in Christchurch UK, had a new stand design to show off. OYS are designers and manufacturers of rigging, thrusters and hydraulics and launched their new RDE (Rim Driven Electric) thrusters at the show. They engineered a scaled down model where demonstrations were carried out on the stand. The thruster was ultra quiet so the media and customers had to look out for them as there was little or nothing to be heard!

For RMK Marine the main news was all about the 45m Ron Holland designed motoryacht, code named 4500, which will be completed in spring 2012 and is for sale. They were also displaying the concept models launched at Monaco in 2010 and were talking about the recently launched Oyster 100 which was going through sea trials during the show.

Although these are our clients exhibiting at the show, we can never forget about the ones not exhibiting, there are always opportunities. It's about thinking outside the box as well as hunting down and piggy backing onto ideas that are already floating around the show. In particular our clients Livewire Connections were going to be at the show on foot, visiting clients and pursuing new leads. Livewire Connections provide satellite services to a number of Superyachts were at the show as well as working with the management companies exhibiting, so would have a busy couple of days. We caught up with them on Thursday, it's always nice to meet clients in a different environment away from the distractions of the office and what could be better than the beautiful setting in Monaco?!

From being at Monaco, the general mood around the show was leaning towards the buoyant side, orders were being confirmed, new boat deals were being signed and there was plenty of discussions about future projects. At Box PR we are now following up on the promising journalist meetings at the show, to ensure OYS and RMK Marine get maximum exposure from the investment of being there.

Traka take delivery of their entry into RB12

Traka, intelligent access management company based in Buckinghamshire UK and Longwood Florida, have just taken delivery of their entry in RB12.

Traka, was on display at RIBEX 2011, as part of the promotion for the RB12 race. RB12 will see 50 boats, 50 cars and 50 aircraft visit 10 destinations around Britain from 21st -30th June 2012. Traka is going to be there, are you?

Traka is a Humber Quinquari hull, 10metres long, she is powered by twin 300hp Evinrude's ETEC outboards and will be able to go up to 60knts.

I was fortunate to be part of the team who would bring Traka back from the Isle of Wight to her new home in Southampton, where she will be based as her crew fine tune the boat (and themselves!) in order to compete in the race.

All in a days work

Sorry it’s been a while since we last wrote something on here, you might think we have had the last couple of months off, in fact far from it. We have been planning, researching and generally getting ahead of the game with our clients and our own plans for 2011. What a year it’s going to be.

Today has been an exciting day, we have been out with Sunseeker Charters and our client Marine and Industrial Transmissions (MIT) on High Energy, an 88ft Sunseeker based out of Ocean Village, Southampton.

MIT are the UK distributor for Twin Disc, and they were showing us the latest innovations which have been retro fitted onto High Energy. These are the Twin Disc Express Joystick System and the Twin Disc EC300 Power Commander.

All who came on board were as impressed as were we, with how smooth High Energy moved about, all those who wanted to have a go, did.

Just to show how simple they are to use and how smoothly and efficient they are they let the box pr team have a go, now if we can do it anyone can. Manoeuvring in tight spaces was not a problem. The Twin Disc system was so responsive and High Energy handled brilliantly in gusty conditions out in Southampton Water.

Time to reflect on the London Boat Show 2011

After any show, it always takes a little time to get back into the usual daily routine, and then on top of that with everything else going on, keep you all informed with what we have been up to.

So alarm goes off in the early hours of Friday 7th of January the curtains are opened and rather than being faced with the complete white out of snow we had in 2010, this year it was torrential rain, surely 2012 we can have some sunshine for the journey up to the show.......please!

So we battled through the rain and argued with tom (original sat nav name I know) trying to take us through the centre of London (we are coming from Hampshire) and we make it in time for the opening of the show at 10am. Straight to the media office to distribute client press releases, armed with Baltic Lifejackets ones who were launching new products and Ultimate Sails ones were debuting at the show. Plus it's always good a good opportunity to touch base with old friends there and see what everyones been up to.

Baltic Lifejackets were exhibiting on stand C58 at the show, and reported a huge amount of interest in their lastest product developments. There was particular interest in the Race 150 and GP 150 both 150 Newtons infalatable lifejackets which offer exceptional performance in a variety of demanding and extreme conditions. Ultimate Sails

Ultiamte Sails were exhibiting at the London Boat Show for the first time, it is an exciting time for the company, Paul and Kevin have previously represented brands such as Sobstad and Elvstrom, so London was their time to stand proud under their own name.

They were part of the BMF Showcase and had a very successful time at the show. The question as to whether they will be there next year remains unanswered, however all in all they were very positive about their experience.

As well as seeing cleints on stands the one thing about going to any show is there are always familar faces some from 2mins down the road in Hampshire, others from afar afield as Oman, it was great to catch up with you all.

We were visiting the show with our graphic designer. It was Lauren's first time at London Boat Show (in fact any boat show) so it was all a bit of a shock. Thank you to Key Yachting for letting us all go onboard the new J/111, it was very impressive.

Finally an update from METS - better a little late than never!

So the box pr team returned from METS buzzing from the postive vibes around Amsterdam, so what did we get up to whilst we were there........

DAY 1 - Box PR party day!

With clients at either end of the show, Day 1 was certainly fitness day as we ensured we touched base with our cleints exhibiting at the show. Before we knew it, it was 5pm - party time! Box pr hosted a networking and drinks party, kindly with the support of Ocean Yacht Systems. The party was well attended and useful connections were made with our clients Livewire Connections, Clements Marine, Baltic Lifejackets, Marine and Industrial Transmissions, Global Green, Marine and Hydraulics, Superyacht Doc and Ultimate Sails. It would seem people are attacted to a crowd and within moments the stand was full, World Famous Round the World Sailor Mike Golding was captured on camera!

DAY 2 - Client day

Box pr have looked after the Baltic lifejacket brand for the past 4 years and METS was the start of the social media strategy, follow them on Facebook! Their stand at METS was rarely a quiet place a sign of how their products continue to be in high demand. New products launched at METS 2010 were the Mascot Pet Buoyancy Aid, the Baltic Surf & Turf, the GP150, the Baltic Trip All Purpose Buoyancy Aid and the X2 Specialist buoyancy Aid.

Clements Marine, completed the final stage of their re-branding process with a new folder and banner printed just days before the truck headed out to Amsterdam. The stand was looking comepletely revived, fresh and based around their product - propellers.

Global Green are a new client for box pr in METS 2010. They produce produces innovative marine cleaning products that are eco-friendly, biodegradable and non-toxic. At METS they were launching their surface preparation solution and promoting their Teak Cleaner which is proving very popular amoungst crew and those who maintain Superyachts. Lyndon also took part in the Global Superyacht Forum.

DAY 3 - Final Day

The great thing about METS is you have these 11 massive halls, and everywhere you go you see someone you know. There is always the danger that you actually spend a significant amount of time talking to someone you work 5mins away from home back in Hampshire UK, rather than new friends you have made based on the otherside of the world - but whoever you catch up with evey discussion provides future opportunities for you.

Box pr had a really successful show and as always there is more to come from the team and our orange box!

box pr team has a successful Monaco Yacht Show in style

Lou & Louise from box pr spent 4 days at the Monaco Yacht Show from 21st - 24th September.

Acting on behalf of our clients Livewire Connections and RMK Marine, we can report that despite Air Traffic Control in France both clients had a successful show. RMK Marine in particular were debuting at the show with their 52m Nazenin V. With a jam packed schedule, RMK Marine staff and the crew of Nazenin V worked solidly for the duration of the show in order to ensure Nazenin V was looking her best. They succeeded, journalists and visitors alike were amazed by the craftmanship from this Turkish shipyard.
